Platform migration
Move onto GoHighLevel without losing your history
The reason most CRM migrations go badly is not the export. It is the fortnight afterwards, when the automations that used to run silently no longer do and nobody notices until a customer complains.
Quick answer
How does a GoHighLevel migration work?
A GoHighLevel migration moves contacts, custom fields, conversation history, pipelines, automations, forms, calendars and phone numbers from an existing platform into GoHighLevel. It involves mapping the old data model onto the new one, rebuilding automations natively, porting numbers, then cutting over with both systems briefly running in parallel.
The problem
What this actually fixes
Your export is 40,000 contacts with fields that have no equivalent in the new system.
Conversation history lives in the old platform and nobody wants to lose four years of it.
Automations cannot be exported at all — they have to be rebuilt from scratch.
Nobody documented what the current automations do, and the person who built them left.
Your phone numbers are tied to the old provider and porting them takes weeks.
Cutting over means a window where leads could fall between two systems.
Scope
What's included
Every engagement is scoped to what you actually need. This is the full deliverable list.
Deliverable 01
Source audit
A full inventory of what exists in the current platform — data, automations, integrations, numbers — including the things nobody remembered were running.
Deliverable 02
Field and object mapping
The old data model mapped onto GoHighLevel's, with decisions documented about what carries over, what merges and what is deliberately retired.
Deliverable 03
Data migration and de-duplication
Contacts, companies, notes, tags, custom fields and conversation history imported cleanly, with duplicates merged rather than stacked.
Deliverable 04
Automation rebuild
Existing sequences rebuilt natively in GoHighLevel — not translated line by line, but rebuilt to work properly on the new platform.
Deliverable 05
Number porting
Phone numbers ported with the timeline managed, so calls never drop between carriers. This is usually the longest-lead item.
Deliverable 06
Integration reconnection
Every downstream system — ad platforms, calendars, payments, reporting — reconnected and tested against the new source of truth.
Deliverable 07
Parallel running and cutover
A defined window with both systems live, a tested rollback plan, and a checklist of what must be verified before the old system is switched off.
Deliverable 08
Post-cutover monitoring
The first weeks watched closely, because migration problems surface as absences — the message that did not send — rather than as errors.
How it works
From first call to running system
- Step
Audit and inventory
Week 1Everything in the current platform catalogued, including undocumented automations. We frequently find sequences running that the client believed were disabled.
- Step
Mapping and plan
Week 1–2Field mapping, automation specifications, integration list, number porting timeline and a written cutover plan with rollback criteria.
- Step
Build in parallel
Week 2–4GoHighLevel built alongside the live system. Nothing is switched off. Data imported in test batches and verified before the full load.
- Step
Cutover
Numbers ported, integrations switched, both systems briefly live, verification checklist worked through before the old platform is decommissioned.
- Step
Monitor and decommission
Watched through the first weeks, then the old platform archived — not deleted — once we are confident nothing is missing.
In practice
What the automation actually looks like
- TriggerMigration approvedScope and rollback criteria agreed
- ActionSource auditData, automations, integrations, numbers
- ActionField mappingDocumented, client-approved
- ActionTest importSample batch verified before full load
- ActionAutomations rebuiltNatively, then tested
- ConditionVerification passed?Else rollback, no cutover
- OutcomeCutover completeOld platform archived, not deleted
Use cases
Where this earns its keep
Leaving HubSpot or Keap
Consolidating onto one platform, usually driven by cost and by how much sits outside the CRM.
Escaping the spreadsheet
A business running on shared sheets and a calendar, moving to something with automation and an audit trail.
Consolidating multiple tools
A CRM, an email platform, a scheduler and a phone system collapsed into one system of record.
Agency client migrations
Moving a client portfolio onto GoHighLevel sub-accounts without disrupting their live operations.
The part that actually goes wrong
Exports are boring and mostly reliable. What catches people out is that automation failures after a migration are silent.
When a workflow breaks, nothing errors. A message simply does not send. A task is not created. A lead is not assigned. Nobody notices, because the absence of an event does not announce itself — and by the time someone works out that new enquiries have not been getting the follow-up text for eleven days, you have lost eleven days of leads.
This is why our cutover has a written verification checklist rather than a vibe, why both systems run in parallel for a defined window, and why we monitor actively for the first weeks rather than declaring victory at go-live.
Before you migrate
If your current platform works and the motivation is mainly cost, run the numbers including the migration itself and the productivity dip while your team relearns everything. Sometimes the answer is to stay. We would rather tell you that on the call.
If your current platform is genuinely holding the business back — no automation, no visibility, data in four places — then the migration pays for itself, and the sooner it happens the less history there is to move.

Questions
GoHighLevel Migration — common questions
Can you migrate from HubSpot to GoHighLevel?
Yes. Contacts, companies, deals, custom properties, notes and activity history export cleanly enough to map across. Workflows do not transfer — they have to be rebuilt natively, which is genuinely better than attempting a literal translation because the two platforms model automation differently.
Will we lose our conversation history?
Not if the source platform exposes it. SMS and email history can generally be imported onto the contact record. Some platforms restrict what their export includes, and where history cannot be imported we archive an export so it remains retrievable even if it is not live in the new CRM.
How long does a migration take?
The data work is usually the fastest part. Number porting is the constraint — it is carrier-controlled and typically takes weeks regardless of how well we plan. We start porting early and build everything else in parallel so it is not the thing you are waiting on at the end.
What if something goes wrong during cutover?
That is what the parallel-running window and rollback plan are for. The old platform stays live until a written verification checklist passes, and it is archived rather than deleted afterwards. We have never regretted keeping an archive; we would certainly regret not having one.
Can you migrate our phone numbers?
Yes, subject to the numbers being portable, which most are. Porting is carrier-driven and cannot be rushed, so we submit early and sequence the rest of the migration around that timeline rather than the other way round.
Do we need to rebuild all our automations?
Effectively yes, and we would argue you should want to. Automations do not port between platforms, and a migration is the one moment where you have permission to retire the sequences that were never working. Most clients end up with materially fewer, better workflows than they started with.

A GoHighLevel account audit is a structured review of an existing sub-account that documents what is configured, what is actively firing, what is broken or duplicated, and what is unused. It produces a written findings document with a prioritised fix list, rather than building anything.
GoHighLevel setup, configured around how you actually sell
GoHighLevel setup is the initial configuration of an account: creating pipelines and stages, custom fields, calendars and booking rules, core workflows, forms and funnels, connecting phone numbers and email domains, completing messaging compliance registration, and integrating the platform with the other tools a business already uses.
GoHighLevel consulting for teams who will do the building
A GoHighLevel consultant advises on system architecture, workflow design, data structure and technical approach without carrying out the implementation. The engagement produces decisions, specifications and direction that the client's own team then builds, rather than a finished system.
Fix the thing that stopped working
GoHighLevel automations commonly stop working because a trigger condition changed, an integration disconnected or its credentials expired, a required field was renamed, messaging delivery was blocked by missing compliance registration, or another workflow is exiting contacts before the sequence completes.
Make a working system perform better
Optimisation analyses a functioning GoHighLevel system to find where performance is lost — which pipeline stages leak, which sequences underperform, where timing is wrong, which lead sources convert poorly — then makes targeted changes and measures whether they helped.
